Volunteers
The Pelham Youth Hockey Association is a not-for-profit organization run by volunteers for the benefit of children from Pelham and surrounding communities. Keeping the association running smoothly requires a lot of work. We appreciate all of the assistance that friends of the association – whether or not parents of current association players – can provide.
We have many formal volunteer positions, which, together with their responsibilities, are listed below. If your schedule won’t allow you to take on the lead role in any of those positions, we can still use your help to whatever extent you can give it.
We are in particular need this season of assistant coaches to help out running our cross-ice program, so if you can skate and either have or are willing to obtain the necessary coaching certification, you could help us enormously in that capacity.

Coach
The head coach of each team is responsible for instructing players in basics of ice skating, ice hockey, physical fitness, responsibility, self-reliance, cooperation, leadership, sportsmanship, teamwork, and team spirit; overseeing all team activities, including on-ice practices and games; appointing assistant coaches and a team manager; ensuring that all players are treated in accordance with USA Hockey, Inc. and association policies; ensuring all ice time (practice and game) allocated to the team is fully used, and notifying the scheduler if any scheduled ice time will not be used or has been swapped with any other team or person; and coordinating with the tournament director to schedule tournaments. Assistant coaches assist the head coach in carrying out those responsibilities.
Team manager
The team manager of each team is responsible for performing non-coaching administrative tasks for the team as directed by the head coach—including, principally, scheduling games with other teams and collecting and distributing information (e.g., schedules, medical and liability release forms, tournament registration materials); and writing game, tournament, and other reports regarding the team for publication, and coordinating publication of those reports with the publicity coordinator.
Volunteer coordinator
The volunteer coordinator is responsible for soliciting prospective volunteers for association officer and appointed positions, as well as other association activities; and advising prospective volunteers with respect to job responsibilities.
Registrar
The registrar is responsible for collecting and maintaining pertinent registration data for all association players; preparing reports from player data as requested by association officers; and assisting the treasurer to ensure all players are properly registered (including with USA Hockey) and have paid all applicable fees.
Scheduler
The scheduler is responsible for scheduling all ice time for practices and home games; ensuring full utilization of association ice time; preparing and posting schedules to the association website; and acting as liaison between the association and the Ice Hutch Ice Rink and any other venue where the association purchases ice time.
ACE coordinator
The ACE coordinator is responsible for overseeing performance and development of the association’s coaching staff in accordance with the association’s stated coaching goals and objectives and the USA Hockey Coaching Education Recommended Guidelines; holding regular meetings with the coaching staff; coordinating coaching staff certification and training; reviewing game misconduct penalties with head coaches for possible league appeal or further disciplinary action; and mediating complaints concerning coaching staff with association members, other youth hockey associations, hockey leagues association teams participate in, and others.
Division director
The division director of each division (clinic, cross-ice, Mite, Squirt, Pee Wee, Bantam, Midget) is responsible for managing the operation of that division; coordinating communication between that division and the officers of the association; and ensuring that non-coaching administrative tasks for that division are carried out in a timely manner.
Referee coordinator
The referee coordinator is responsible for ensuring referees are scheduled for each home game; reviewing all complaints from coaches regarding officiating, as well as complaints from referees regarding player, coach, or fan conduct; and reporting to the board of directors with respect to any significant or systemic officiating-related complaints.
Fundraising coordinator
The fundraising coordinator is responsible for proposing and implementing association fundraising opportunities; and soliciting sponsors for the association and its activities.
Merchandising manager
The merchandising manager is responsible for proposing and implementing association merchandising opportunities; procuring association merchandise from third-party vendors; and coordinating and organizing sales and distribution of association merchandise.
Publicity coordinator
The publicity coordinator is responsible for collecting and editing game, tournament, and other reports from team coaches and managers for publication; coordinating publication of team game, tournament, and other reports and other association information with local media; and posting team game, tournament, and other reports and other association information to the association website.
Web master
The web master is responsible for coordinating technical maintenance and service of the association website with the website service provider; becoming familiar with all features and functionality of the association website; suggesting to and coordinating with the website service provider upgrades to the features and functionality of the association website; helping familiarize officers and other appointees with the features and functionality of the association website in order to maximize utilization of online capabilities; assisting officers and appointees to post information to the association website; and monitoring content posted to the association website to ensure that it remains up to date.
Tournament director
The tournament director is responsible for planning, coordinating, and executing all tournaments hosted by the association; serving as the association representative to all tournaments at which any association team is to participate; gathering information regarding local, regional, and national amateur ice hockey tournaments; coordinating with coaches and managers team applications to tournaments; and serving as the association’s representative to other amateur ice hockey associations.
Equipment manager
The equipment manager is responsible for procuring, maintaining, and securing all association-owned equipment; distributing association-owned equipment at the beginning of each season and collecting it at the end of each season; negotiating group purchase discounts for hockey equipment purchases by association players with various local and online equipment distributors, and coordinating dissemination of group purchase discount information to association members; and coordinating group equipment purchases.
Team manager
The team manager of each team is responsible for performing non-coaching administrative tasks for the team as directed by the head coach—including, principally, scheduling games with other teams and collecting and distributing information (e.g., schedules, medical and liability release forms, tournament registration materials); and writing game, tournament, and other reports regarding the team for publication, and coordinating publication of those reports with the publicity coordinator.
Hudson Valley Hockey League representative
The Hudson Valley Hockey League representative is the association’s liaison to the Hudson Valley Hockey league and is responsible for attending league meetings and reporting to the board of directors on league-related matters.
Goalie program director
The goalie program director is responsible for coordinating specialized instruction and training for goalies; identifying prospective goalies, particularly in younger age groups; and advising coaches on effective use and training of goalies in team practices.
Player and team photo coordinator
The player and team photo coordinator is responsible for contracting for and coordinating professional individual and team photos each fall-winter season.
Yearbook coordinator
The yearbook coordinator is responsible for obtaining team and individual photos, personal congratulatory messages, and commercial advertisements for the association’s yearbook; assembling and editing the content of the yearbook; and coordinating printing of the yearbook.
Annual dinner coordinator
The annual dinner coordinator is responsible for scheduling the association’s annual dinner; notifying association members of the annual dinner; collecting payment for the annual dinner; setting up, managing, and cleaning up after the annual dinner; and coordinating volunteers to help and accomplishing those tasks.
